Data Privacy Policy

What information we collect

When you enroll in the program, we store the following information:

• Your name(s) and email address(es)
• Your child's first name
• Your child's teacher name(s) and email address(es)
• A summary of each rating form's results, used to show trend graphs over time (see below for exactly what this includes)

If you want extra privacy, you can use initials or a nickname instead of real names for yourself or your child when signing up — just make sure your child's teacher will still know who the email is from.

What we store, and what we don't

We never store the individual answers a teacher enters on a rating form — not the item scores, not any written comments. We score the form right away and email the results to you. Results are never sent automatically to anyone else — if you'd like your child's clinician to see them, you can forward the email yourself. After that email is sent, the form itself is gone.

What we do keep is a short summary of each form's results — the numeric scores, status level, and a few brief notes on work completion and quality. This lets trend graphs show how things change over time, not just one week or month by itself. Graphs can cover up to a full school year. If your child has more than one teacher, each teacher's ratings are kept and graphed separately — never combined.

We keep this summary as long as your account is active. Deleting your account, or removing a teacher, permanently deletes that stored summary too — see “Deleting your account” below.

How we secure your data

The information you provide is stored in an encrypted database that only this program's own servers can access — nobody else has the credentials needed to read it.

As the person who runs the program, I have access to that database — including your account information and the brief rating summary (scores and status, not the teacher's written comments) that lets me show you how things are changing over time. I don't have access to the actual results email you receive or the original rating form; neither is stored. This access exists so I can operate and maintain the program, not to review individual families' results.

Results emails are sent only over an encrypted connection between our email service and your provider's mail server. If your provider can't support that, we won't send the message unencrypted — you'll instead be asked to provide an alternate email address. This protects the message in transit; it's not full end-to-end encryption, so once delivered, it sits in your inbox like any other email.

Your trends graph link (included in results emails, and available anytime from your account management page) works a bit differently — anyone with the link can view it, without needing to log in. It doesn't show your name or your child's name, which is why we're comfortable making it that easy to open — this is also what makes it simple to share with your child's doctor or another care provider if you'd like. Because anyone with the link can use it, treat it like you would any other private link, and you can generate a new one anytime from your account management page if you're ever unsure who's seen it.

How we use your information

• To send introductory emails and periodic rating forms to your child's teacher(s)
• To email results to you after each form submission
• To send you account management links when requested
• To send seasonal reminders about pausing monitoring during school breaks

We never sell or share your information with any third party, for any reason.

Email sender

All emails from this program come from monitor@helpforadd.com. Add this address to your contacts so results emails don't get lost.

Deleting your account

You can permanently delete your account anytime from your account management page. This removes all stored information — your name, email, your child's name, and all teacher records, including any stored rating summaries. Teachers stop receiving forms right away. This can't be undone, but you're welcome to re-enroll anytime.

You can also remove a single teacher without deleting your whole account. This also permanently deletes that teacher's stored rating summary, so their trend graphs can't be recovered afterward.
